Privacy Policy

Tomtegrid is an AI marketing service run by Fencesync Forge Systems Private Limited (“we”). It helps local businesses (“clients”) publish posts, reply to their customers and run ads. This policy explains what personal data we handle, why, and your choices. It is written to meet India’s Digital Personal Data Protection Act, 2023 and the policies of Meta and Google.

1. Whose data we handle

Clients: business owners and their staff who use Tomtegrid.
Our clients’ customers: people who message, comment on, or fill forms for a client’s business on WhatsApp, Facebook, Instagram or Google. For this data the client is the data fiduciary and we act as their data processor.

2. What we collect

Client account details: name, mobile number, business name, area, brand details, photos the client uploads.
Access tokens the client grants us when they connect Facebook, Instagram, WhatsApp, Google Business Profile or Meta ad accounts. We never ask for or store their passwords.
Customer messages and contact details received through the client’s connected accounts (name, phone number or platform ID, message text), lead forms, orders placed in chat, and Google reviews.
Performance data from the platforms (post reach, likes, comments, ad spend and results).
Billing records through Razorpay. We do not store card or bank details.

3. Why we use it

To create and publish the client’s posts, reels, Google updates and ads, as the client instructs.
To reply to the client’s customers, answer their questions, take orders, and pass enquiries to the client.
To measure what works and improve the client’s marketing.
To send clients login codes, alerts and reports on WhatsApp.
To bill for subscriptions and keep the service secure.

We do not sell personal data, and we do not use one client’s customer data for another client.

4. AI processing

Tomtegrid uses AI models (including Anthropic’s Claude) to write content and replies. The text needed for each task is sent to the AI provider to produce the result. Messages to customers are clearly sent on behalf of the business, and customers can ask for a human at any time.

5. Sharing

We share data only with the services needed to run Tomtegrid: Meta (Facebook, Instagram, WhatsApp), Google, Anthropic (AI), Razorpay (payments) and our hosting provider. Each receives only what its task needs. We may disclose data if required by law.

6. Marketing messages

Customers only receive business-initiated WhatsApp messages if they have contacted that business. Every such message can be stopped by replying STOP, which takes effect immediately.

7. How long we keep data

We keep client data while the account is active and delete it within 30 days after the client closes their account, except records we must keep by law (such as invoices). Customer conversations are kept for up to 24 months unless the client or the customer asks for deletion sooner.

8. Security

Access tokens and API keys are encrypted at rest. Access to Tomtegrid’s operator panel is limited to authorised staff and every action is logged.

9. Your rights

You can ask to access, correct or delete your personal data, or withdraw consent, by writing to us. Customers of a business can also contact that business directly. See Data deletion for how to have data removed. If you are unhappy with our response you may complain to the Data Protection Board of India.

We will post any changes here and update the date above.
